SMS: School Management System

The challenge

A growing school group juggles spreadsheets in every branch, paper attendance registers, hand-made fee challans reconciled against the bank for days, payroll in a spreadsheet nobody can check, and approvals over WhatsApp with no record.

Our solution

We built SMS: two portals, 17 functional areas and one database shared by every branch, office and family:

• Admissions: enquiries with follow-ups, an online application form, assessments, merit lists and one-step confirmation
• Student 360: families and siblings, ID cards, promotions, transfers, withdrawals and leaving certificates with QR verification
• Academics: teacher allocation with workload limits, clash-free timetables, substitutions, lesson plans and study materials
• Attendance in seconds: teachers mark a class on a phone, and parents of absent students are alerted within 5 minutes
• Exams and results: markbooks, grading scales, analytics, report cards and transcripts published to the family app
• Fees and finance: batch fee challans, online payments, automatic bank reconciliation, ledger posting, trial balance and statements
• HR and payroll: payroll from locked attendance, variance review, bank files and payslips
• Operations: library, transport, hostel, inventory, uniform shop, clinic and counselling in the same system
• Family app: one sign-in for parents with several children, online fees, results, homework, attendance and messages, in English and Urdu

Highlights

A fee paid by a parent, a mark entered by a teacher and a payslip run by HR all land in one place. The maker of a concession, refund or payroll run can never approve it, and every change is kept in a tamper-evident audit log.
